The Lock Feature


The Lock feature appears several times throughout Template creation. It allows you to “set and forget” features in the Template. Once a feature is locked in the Template, it cannot be edited at the event level. In the example below, the Registration Window has been locked in the Template.




As you can see, the Registration Window options have been greyed out at the Event level.





Notes

Throughout Event and Template creation and editing, as well as a number of other instances, a required “Notes” box will pop up.  This box automatically logs your username as well as the date and time of the change you made.


The only thing left for you to do is to add a comment about the change that you made. 


Below is just one example of the “Notes” box.




Venues

Setting up Venues is a little more involved then setting up a standard event. You need two things before you get started: a Global Venue and an Offline Template. Without these two items, you won’t be able to proceed. 


The first thing you need to do is to create a Global Venue. Once you have logged into your Tenant account, click on the Admin icon at the top of your screen. Then click Venues.



The next step is to select Create Venue from the Actions section on the right. 



After selecting Create Venue, you will need to enter the location information. 



 After adding the location information, you can edit the exact location via Bing Maps. 




If the location is correct, click the Set Map Coordinates link under the Actions tab on the right. After setting the correct coordinates, go to the Publishing tab and select Publish Venue. 


NOTE: If you would like to add Venue properties, you can do this at the Global level. Select the Admin icon at the top of the screen, then select Account Settings. Click on the Venue Properties tab on the left. These properties can be set either back in the Venues section after clicking on Admin at the top of your screen, or in the Template itself. 


Now you need to make sure that you have an Offline Template created (refer to the Template section if you need a refresher on creating Templates). The only difference is that you need to select Offline as the event type. 



To add a Venue to the event, you must first make sure that you select the appropriate Offline template when creating your event. Then select the Venue tab. Add the Venue by clicking on Select Venue under the Action section on the right side of your screen. 




Type in the name of your newly created Venue and click Submit






Searching and Search Filters in iER


There are several areas in iER where you can perform a search.  At the highest level of the application is the Global Search. Searching globally has the potential to be a large processing request on the system and because of that there are restrictions to “search all” wild card entries. For optimal results when using Global Search, it is best to have some specific piece of data that you are looking for. There are two additional search areas within Global iER: Tenant search and User Search. These global search options are located in the Global Admin tab in Manage Tenants and Manage Users respectively.



Global Searching

Search in iER Global is done by keyword. While Tenant searching utilizes special filters, in Global, you can only search for tenants, sites, events, and registrants by keyword.


Example:

Enter the word "Fidelity" into the Global Search text box and you will get the following results which are a mix of the Fidelity Tenant, the Fidelity Site, and multiple instances of user registrations for the user named Fidelity Test.



NOTE: Notice the representative icons next to the search result items:

  • a crown = Tenant
  • a cloud = a Site
  • a shadowed head and shoulders = a registrant


To search for a specific event, type in a keyword from the Event title. 


To search for a site, type in the site hostname (i.e. coolsite from https://coolsite.ier.intercall.com).


To search for a registrant, type in either their first or last name, but not both. If the registrant's name is Billy Pickles, type in either Billy or Pickles.



Search Filters: Global Manage Tenants

 

Manage Tenants has a special filter that can be used to locate a Tenant based on its ACE Account Number.


Account: ACE/iCRM Account Number – will return the Tenant associated with the supplied account number.



Search Filters: Tenant Search

There are multiple search filters that can be used when searching from within the Tenant via the Tenant Search. All filters can be added to your search criteria using the “+” symbol.


Remember: Tenant Search is a true, index-based search and not simply substring matching. For best results, type complete words and/or names.


registrant – limit returned results to registrants

tenant – limit returned results to tenants

site – limit returned results to sites

event – limit returned results to events


future – limit returned results to registrants

past – limit returned results to registrants

today – limit returned results to registrants



Search Filters: Event Search


There are multiple search filters that can be used when searching from the Event Search screen. All filters can be added to your search criteria using the “+” symbol. For example, the search below would look for events with “beginning” in the title and description, that were “online” events and in a status of “published” that also were tagged “webex”: 


beginning +online +published +tag:webex


ondemand – will filter and return only events of type ondemand.

online – will filter and return only events of type online.

offline – will filter and return only events of type offline.


building – will filter and return only events with status building.

published – will filter and return only events with status published.

completed – will filter and return only events with status completed.

canceled – will filter and return only events with status cancelled.

inreview – will filter and return only events with status in-review.

accepted – will filter and return only events with status review accepted.

rejected – will filter and return only events with status review rejected.


topic:urlID –  supplying a topic urlID will return the events associated with that topic urlID

session:urlID –  supplying a session urlID will return the event associated with that urlID

stakeholder:me/IOL Owner Number – using the parameter “me” will filter based on the logged in users owner number.  Supplying an owner number will filter on that owner number.


tag:tagname – supplying a tag name will return all events associated with that tag.


future – will filter and return events where start is greater than current date/time.

past – will filter and return events where start is less than current date/time.

today – will filter and return events where start is the current day.
