Tenant Overview


The Tenant in iER is the highest level of the client's account. All functions other than the Global Tasks (mentioned previously in this guide) can be performed within the Tenant.  


Getting Started with Tenants

Here are a few things that will help to get you started in learning about Tenants. 


  • Only one Tenant may exist per ACE/iCRM account. Each Tenant will have a URL assigned to them that will house all subsequent Sites, Templates, and Events. A Tenant is the equivalent of an Account in iCRM. 


  • Creating a Tenant relies on three pieces of information: the Owner Number, the Tenant Name (as displayed in ICRM), and the Host name (The account name that the Owner Number falls under in ICRM)

Creating a Tenant

After logging into iER, click on the Admin button at the top of your screen, then select "Manage Tenants."



After you have selected Manage Tenants, you will be taken to the Global Search page. Select "Create Tenant" from the right side of your screen. 




Clicking "Create Tenant" will open a pop-up window that asks for three critical pieces of information:

  1. An Intercall Owner ID
  2. Tenant Name
  3. Host Name

Paste in an Owner Number and click your mouse anywhere outside the Intercall Owner ID box. This prompts a database query.



If you type in an inaccurate Owner Number, you will get a message saying "Invalid Account," as shown below:



Tenant Name and Host Name play important roles. The Tenant Name section should match the Account Name associated with your client's Owner Number in iCRM exactly. It is critical that they match because we cannot edit or delete this name after it has been created.


IMPORTANT: Please note that once a Tenant is created, two of the initial three pieces of information cannot be altered. Only the Tenant Name can be changed. For billing purposes, it is critical that the Account name that is returned from iCRM from the IC Owner ID look up is accurate to the new Tenant request. Tenants cannot be deleted. For the time being, please contact the Registration Services Group for all Tenant creation @ rsg-pdx@west.com 


Host name determines the prefix for the Tenant URL. This is shown in the screen shot below:




Notice that the text you enter for Host Name becomes part of the URL. Remember the Host Name should match the account name shown in green. Host names have specific limitations: they cannot include spaces or special characters, as it is an alpha-numeric field only. In the above example, the (6) cannot be included.


iER will compare the Owner Number that you have entered with the iCRM database and the current iER Tenant database. If there has already been a Tenant created under the same Account that the Owner Number belongs to, the following message will be displayed: 



If the Tenant Account already exists, you can look up the tenant in iER by performing a Tenant search using the following syntax: account:[account number]. So for the example above you would enter the following into the search box: account:6.  Perform this review to identify the existing account and consider the possibility of adding a new site to the existing tenant.


If no previous Tenant exists, the creation will be successful.


Save the link that has been created for the Tenant. You can also find the link by using the Tenant Search in Manage Tenants. Search for the specific Tenant name.



Click on the Tenant Name to access the Tenant Details page.


Once in the Tenant Details page, you can easily find the Tenant link. Shown below is the location of the Tenant link. This link directs you to the Tenant’s Admin Page (homepage).



The Tenant Host page can be compared to the Account Summary page in AMP. Here is what it looks like:



From this page you can schedule events, check registration statistics, create new sites for individuals, and perform various other Admin tasks. 


The remaining tasks in this user guide will all take place within a Tenant Homepage.
